What you will be doing

  • Efficiently managing an executive's busy inbox, schedule, and travel plans, ensuring every interaction is refined and safeguarded.
  • Converting raw notes and voice recordings into well-crafted written documents like memos, presentations, and briefs.
  • Creating and maintaining systems for workflow management, vendor coordination, and travel logistics.
  • Overseeing personal and professional projects from conception to completion, coordinating with vendors as necessary.
  • Serving as the main point of contact for internal executives, investors, advisors, and family office associates.

What you will NOT be doing

  • Awaiting direction—this role demands proactive decision-making and initiative.
  • Engaging in a competitive administrative pool or merely passing tasks—you are responsible for the end result.
  • Navigating through intermediaries—you will have direct access to the executive.
  • Being bogged down by red tape or endless approvals—there’s trust and autonomy here.
  • Relying on incomplete systems—you'll be at the forefront of developing them.

Key responsibilities

Safeguard and enhance an executive's time, focus, and productivity by owning and optimizing systems, communication, and project execution across both business and personal spheres.

Candidate requirements

  • 8–12+ years of experience supporting top-tier executives or ultra-high-net-worth clients in roles such as EA, EBP, CoS, or high-touch consulting.
  • Outstanding written communication skills; professional, articulate, and precise across all formats.
  • Demonstrated ability to manage both professional and personal workflows for a single executive.
  • Proficiency with modern productivity tools: Google Workspace, Shortwave, Notion, Workflowy, etc.
  • Discreet, composed, and reliable under NDA; experienced in handling confidential information.
  • Located in Austin or willing to relocate swiftly; on-site presence is necessary.
  • Authorized to work in the US without need for visa sponsorship.

Nice to have

  • Experience in family or private office settings.
  • Familiarity with event planning, property management, or vendor networks.
  • Financial acumen—capable of managing budgets, invoices, and related documentation.
  • Strong research and synthesis abilities; capable of producing high-quality work on tight deadlines.
