Are you the master orchestrator who thrives on creating order from complexity? Join us as the operational backbone of an intensive 12-week AI training program where your logistics expertise and people skills will directly impact the next generation of AI leaders.

We're seeking someone exceptional to coordinate a transformative AI bootcamp experience for 250 participants over 8 weeks of on-site training. This isn't just about managing schedules and resources – it's about creating an environment where ambitious professionals can focus entirely on their AI journey while you handle everything else.

This is an immediate start position preparing for our January 6th program launch. The ideal candidate will be available to begin before the winter holidays to ensure seamless program preparation.

Your superpower is maintaining calm and efficiency in high-pressure situations. You'll be the go-to person for everything from coordinating daily meals and venue logistics to providing crucial emotional support when participants hit challenging moments. Your ability to anticipate needs and solve problems before they escalate will be the key to our program's success.

This role is ideal for professionals from diverse backgrounds – whether you're coming from events management, program coordination, or returning to the workforce after time away. What matters most is your proven ability to manage complex logistics and support people through intense experiences.

This is a full-time, salaried position offering $100,000/year. The program's demanding schedule requires availability for extended hours, including evenings and weekends during the 8-week on-site portion.

What you will be doing

  • Orchestrating comprehensive program logistics: Transform an empty venue into a fully-functional training space with all necessary infrastructure, from furniture and power setups to ensuring reliable internet connectivity
  • Coordinating seamless daily operations: Manage meal deliveries, transportation services, and real-time venue needs for 250 participants
  • Building and maintaining vendor relationships: Source and manage partnerships with catering, transportation, and equipment providers
  • Providing crucial participant support: Serve as the primary point of contact for non-technical needs, offering encouragement and practical solutions to keep participants focused and motivated
  • Leading proactive problem-solving: Anticipate potential issues and implement solutions before they impact the program's flow
  • Documenting and improving processes: Track all operational aspects and refine procedures for future program iterations

What you will NOT be doing

  • Creating or delivering technical curriculum – your focus is entirely on operational excellence and participant support
  • Managing a few one-off events – this is about sustaining an immersive experience over multiple weeks, including classroom experiences, off-sites, and special events.
  • Working standard office hours – the program's intensity requires flexibility and dedication beyond 9-to-5

Key responsibilities

Candidate requirements

  • Proven track record managing complex logistics or operations in any setting (professional, educational, or volunteer)
  • Exceptional organizational abilities with a talent for juggling multiple priorities in fast-paced environments
  • Strong interpersonal skills and emotional intelligence for supporting participants through intense experiences
  • Demonstrated ability to solve problems quickly and adapt to changing situations
  • Ability to start immediately to support critical program preparation and setup
  • Willingness to work extended hours, including evenings and weekends, during the program
  • Based in Austin, TX, or able to relocate by January 6th
  • Authorization to work in the United States without visa sponsorship
