Client Experience Director   $200,000 USD/year

Description

You have faced a family and recognized the right call was to decline. Delivering that answer came at a cost: a target, your manager's expectation, a deal. In this role, that answer is the work.

Alpha operates as a private K-12 school network. Students complete academics in roughly two hours each day and dedicate the remaining time to developing practical skills; standardized outcomes validate the approach. This position is campus-based, in person, full-time, located in one of 12 markets: Los Angeles, Santa Barbara, La Jolla, or Malibu, CA; Austin, TX; Atlanta, GA; Boca Raton, FL; Boston, MA; Chicago, IL; Greenwich, CT; Nashville, TN; or Park City, UT. Select your preferred market during the application process.

Families pay a significant tuition, conduct extensive research, and pose rigorous questions about academic standards and accountability early in the conversation. The model functions only when enrolled families genuinely align with its philosophy. In a limited cohort, one misaligned family can alter the experience for all others.

You will have full ownership of the admissions cycle for a single campus. Initial inquiry, alignment discussion, facility visit, trial day, enrollment decision. You serve as the sole point of contact from inquiry through the student's first school day. A typical week includes: responding to all inquiries within four hours, guiding a doubtful parent through the afternoon curriculum, coordinating a shadow day, maintaining records in HubSpot, and informing a family their child would benefit from an alternative placement. You will simultaneously manage 20 or more families across varying stages. You assess alignment, and you communicate outcomes, face-to-face, using your own language.

The network is expanding, and operational standards continue to develop. Those who establish success in a market create the reference materials, fit benchmarks, and protocols adopted by future campuses, and they become the trusted referral within affluent networks in their region.

This is a campus-based position requiring daily, in-person presence. Profiles that succeed in this role include: admissions and enrollment leaders from competitive independent schools; high-value consumer relationship managers whose client was the family unit, such as luxury property advisors, private wealth consultants, or boutique practice principals; and hospitality or concierge professionals who have delivered premium client experiences to discerning buyers. If this describes you, submit your application and indicate your market preference.

What you will be doing

  • Managing the complete enrollment experience for each prospective family, from initial contact to onboarding, beginning with a genuine assessment of needs before introducing the program.
  • Maintaining an active pipeline of 20 or more families concurrently, responding to every inquiry without delay and processing applications on a daily basis.
  • Conducting facility tours, open house events, information sessions, and shadow experiences that clearly define who the program serves and who it does not.
  • Determining the admission or decline recommendation and personally communicating the outcome to each family.
  • Updating HubSpot and the student information system (SIS) following each touchpoint, leveraging AI tools such as ChatGPT or Claude for preparation and documentation, and providing weekly pipeline updates to leadership.

What you will NOT be doing

  • Pursuing enrollment volume as a metric. A family who enrolls and departs represents a worse result than a family declined at the outset.
  • Experiencing override of your fit assessment to preserve a relationship or meet an enrollment goal.
  • Executing templated scripts, high-volume outreach campaigns, or discount-driven closing tactics.
  • Transferring families through a sequence of coordinators, or awaiting committee approval for standard communications.
  • Conducting surface-level facility tours that avoid substantive inquiries.

Key responsibilities

Enroll families aligned with the campus mission and ensure that even declined families experience the interaction as professional service.

Candidate requirements

  • 3 or more years in a client-facing capacity where the buyer was an individual or family at $25,000 or more per client, or $2,000 or more per month. (Direct B2C/D2C only; B2B and enterprise sales do not apply.)
  • You have independently managed a client, admissions, or enrollment relationship from initial inquiry to final commitment.
  • You have concurrently managed 7 or more client relationships using a CRM, database, or tracking platform.
  • You have advised a prospective client against purchasing, enrolling, or joining due to misalignment.
  • You have incorporated AI tools into client-facing processes.
  • You communicate clearly and professionally in real-time interactions and written correspondence with executives, high-net-worth clients, or other discerning audiences.
  • You can develop a sustained, multi-touch relationship spanning 30 or more days and maintain engagement with families not yet prepared to commit.
  • You currently reside in, or will relocate within 60 days to, an active campus market: Los Angeles, Santa Barbara, La Jolla, or Malibu, CA; Austin, TX; Atlanta, GA; Boca Raton, FL; Boston, MA; Chicago, IL; Greenwich, CT; Nashville, TN; or Park City, UT.
  • Willing to be present on-site at your assigned campus every workday.
  • Authorized to work in the United States without requiring visa sponsorship.

Nice to have

  • Admissions or enrollment leadership experience at a selective private, independent, or boarding institution.
  • Background in luxury residential property, private banking, family office services, concierge medical practices, or premium event coordination, where your client was the family.
  • You designed the enrollment workflow or service framework rather than inheriting an existing system.
  • You have established relationships with affluent families, early childhood programs, or family advisors in one of the 12 markets.
  • Owner-operator background where you personally managed sales, delivery, and retention of high-value clients.
