Admissions Representative   $40,000 USD/year

Description

Success in this role depends on your ability to establish trust with parents within moments of starting a conversation. We are looking for someone who thrives on outreach, maintains disciplined follow-up, and can articulate an innovative learning model without depending on prepared scripts. If phone-based communication feels uncomfortable or you prefer work without measurable performance indicators, this position will not be a good match.

Nova Academy operates as a virtual, tuition-free public charter school that offers students an alternative educational model. Core academics are completed in a concentrated time block using AI-supported learning, allowing students to dedicate the remainder of their day to real-world skill development through projects and enrichment activities. Your function is to serve as the first significant connection for families considering this educational path.

Your weekly responsibilities include responding promptly to new inquiries, shepherding families through the admissions journey, and advancing them from initial curiosity to completed enrollment. You will also appear at local events on behalf of Nova Academy to cultivate new leads and strengthen community awareness. During periods of reduced enrollment activity, you will support broader school operations while remaining prepared for upcoming intake cycles.

If you seek a position where your communication skills, accountability, and initiative directly influence student enrollment outcomes, we would like to speak with you.

What you will be doing

  • Reaching out to new inbound leads within a 24-hour window and beginning admissions discussions via phone
  • Describing Nova Academy's virtual model and the enrollment process using straightforward, accessible language
  • Maintaining disciplined follow-up to advance families from initial inquiry through application to final enrollment
  • Recording all interactions in a CRM with precise notes, defined next steps, and current pipeline status
  • Planning and conducting local recruitment events in Texas or Arizona to introduce the school and generate new leads

What you will NOT be doing

  • Allowing inbound leads to remain uncontacted while addressing administrative tasks
  • Relying on rigid scripts or functioning like a high-volume call center representative
  • Participating in events passively without taking an active role in presenting or lead generation
  • Devoting most of your time to back-office duties during periods of active enrollment demand

Key responsibilities

Transform new family interest into qualified, well-informed applicants who successfully complete enrollment at Nova Academy.

Candidate requirements

  • Located in Texas or Arizona and available to work in a hybrid capacity
  • 1–2 years of experience in customer service or a similar customer-facing position
  • Experience working directly with children or families (schools, camps, childcare, tutoring, or comparable settings)
  • At ease making regular phone calls and guiding families through processes with multiple steps
  • Strong verbal communication abilities with the capacity to establish trust rapidly
  • Working knowledge of CRM systems or digital tools for lead tracking

Nice to have

  • Experience in admissions, enrollment, inside sales, or lead qualification positions
  • Experience organizing or presenting at community events or outreach initiatives
  • Academic background or coursework in communications, education, or a related discipline
