Education Outreach Coordinator   $40,000 USD/year

Description

Success in this role depends on your ability to establish trust with parents quickly during initial conversations. This position suits individuals who are motivated by outreach work, diligent with follow-up, and capable of articulating a non-traditional learning model without depending on scripted language. If phone-based communication or roles with transparent performance expectations do not appeal to you, this opportunity is unlikely to be a good match.

Nova Academy operates as a virtual, tuition-free public charter school that delivers education through a distinct framework. Students engage with core academic subjects during concentrated time blocks supported by AI-driven instruction, then dedicate the remainder of their day to building practical competencies through project work and enrichment activities. Your function will be to serve as the primary initial contact for families considering this educational alternative.

Your weekly responsibilities will include responding promptly to incoming inquiries, shepherding families through each stage of the admissions pathway, and advancing them from curiosity to confirmed enrollment. You will also attend and facilitate local community events on behalf of Nova Academy to cultivate new interest and strengthen regional visibility. During periods of reduced enrollment activity, you will support broader school operations while remaining prepared for subsequent intake phases.

If you seek a position where your interpersonal skills, reliability, and accountability directly influence enrollment outcomes, we encourage you to apply.

What you will be doing

  • Reaching out to new inbound inquiries within a 24-hour window and beginning admissions discussions via phone
  • Articulating Nova Academy's virtual educational structure and enrollment procedures using straightforward, accessible language
  • Maintaining systematic follow-up to guide families from initial inquiry through application submission to final enrollment
  • Recording all engagement details in a CRM platform with precise notes, next actions, and pipeline status
  • Planning and executing local recruitment activities in Texas or Arizona to introduce the school and secure new prospective families

What you will NOT be doing

  • Allowing inbound inquiries to remain unaddressed while prioritizing administrative tasks
  • Relying on prescriptive scripts or functioning within a high-volume call center framework
  • Participating in events without actively presenting the school's offering or developing new leads
  • Devoting most of your working hours to operational tasks when active enrollment periods require outreach focus

Key responsibilities

Transform family interest into qualified, well-informed applicants who successfully complete the enrollment process at Nova Academy.

Candidate requirements

  • Located in Texas or Arizona with availability for hybrid work arrangements
  • 1–2 years of experience in customer service or a comparable customer-facing capacity
  • Professional background involving children or families (examples: schools, camps, childcare, tutoring, or related settings)
  • Comfortable initiating regular phone outreach and supporting families through multi-phase processes
  • Strong spoken communication capabilities with demonstrated ability to establish trust efficiently
  • Working knowledge of CRM platforms or digital systems for tracking leads

Nice to have

  • Prior work in admissions, enrollment coordination, inside sales, or lead qualification
  • Experience organizing or delivering presentations at community-based events or outreach initiatives
  • Academic background or coursework in communications, education, or a related discipline
