Facilities Project Coordinator   $100,000 USD/year

Description

Receive the keys. Execute the buildout. Hand off the site. Transform a bare space into a fully operational school on schedule, transfer it to the operations team, and begin the next campus in a new market. This is rapid-cycle project delivery. If that approach appeals to you, continue reading.

2 Hour Learning operates schools where students complete their academic requirements in two hours, dedicating the remainder of each day to life skills, entrepreneurship, and pursuits that conventional education lacks the bandwidth to address. The model delivers measurable outcomes: students ranking in the top 1-2% nationally, progressing at double the standard rate. None of this is possible unless the facility is ready. Your role is to ensure that outcome: fully functional school campuses delivered on time and within budget across an expanding network of micro schools, growth campuses, and flagship vertical campuses in major metropolitan areas.

Timelines are invariably tight. Move from building turnover to first day of instruction in weeks, not months. This requires coordinating vendor workflows, monitoring interdependencies on a daily basis, and leveraging AI to preempt every outstanding issue before it causes a schedule slip. After a campus launches, you transfer site responsibility to the ongoing operations team and proceed to the next build.

Begin with micro-campus projects — the highest-velocity, most standardized initiatives in the portfolio. As the network scales to encompass growth and flagship locations, the scope and complexity of your assignments will increase accordingly.

When a school opens as scheduled and students arrive on Day 1, your contribution remains invisible. That is the measure of success. Apply today via our assessment process: a cognitive evaluation and a practical work sample.

What you will be doing

  • Overseeing the complete buildout for each campus under your responsibility: coordinating FF&E (Furniture, Fixtures & Equipment) procurement and installation, interior construction, IT infrastructure, signage, and playspace from building turnover through launch day
  • Executing a compressed project schedule tied to a fixed opening date: sequencing vendor activities, controlling project interdependencies, and accelerating delivery wherever the timeline demands
  • Coordinating and approving vendor deliverables: issuing scopes of work, overseeing on-site execution, inspecting output against specifications, and formally rejecting work that does not meet standards
  • Deploying AI tools to generate vendor scopes, create punch lists, monitor open items, and produce handoff documentation — the pace of this role requires these efficiencies
  • Implementing standardized site deployment protocols, confirming readiness upon completion, capturing structured feedback, and organizing the transition to the permanent operations team

What you will NOT be doing

  • Overseeing ongoing facility operations once a campus is live: you transfer responsibility to the permanent ops team and proceed to the next project
  • Conducting hands-on construction or installation work: your function is to direct, inspect, and approve — not to perform trade labor or install equipment
  • Handling real estate acquisition, permitting, or certificate of occupancy processes: those steps are completed before the building is assigned to you
  • Managing a single project on a leisurely schedule: micro-campus builds progress rapidly, and the pipeline is continuous
  • Navigating ambiguous ownership or diffuse accountability: each buildout has a single accountable owner from turnover to opening day

Key responsibilities

Deliver fully operational campuses on schedule and within budget, from building turnover through opening day.

Candidate requirements

  • Minimum of 2 years in operations, facilities, or project delivery
  • Track record of diagnosing and correcting a broken process, with quantifiable results: cost reduction, time savings, or quality improvement
  • Proven ownership of a multi-phase project from start to finish, including documented completion
  • Strong vendor management capability: enforce quality standards with contractors and challenge substandard performance
  • History of managing 2 or more concurrent projects or sites without loss of control or oversight
  • Consistent use of AI tools (ChatGPT, Claude, Copilot, or equivalent) to increase productivity and maintain organization
  • US-based and authorized to work without visa sponsorship
  • Willing to travel 60–80% of the time (3–4 days per week)

Nice to have

  • Prior involvement in a physical buildout or site activation in any sector: retail, food service, healthcare, corporate offices, or comparable environments
  • Experience in construction project management, tenant improvement, commercial fit-out, or facilities management
  • Hands-on familiarity with FF&E, IT deployment, signage, or commercial interior execution, even in a support or coordination capacity
  • Previous use of a project tracking system (Wrike, Notion, Procore, Asana, Monday.com, or similar) to manage tasks or schedules

About Crossover

What you will learn

  • How to execute complex buildouts on compressed schedules: each campus launch represents a project delivery repetition that most project managers accumulate over many years elsewhere
  • How to advance in project scale — micro-campus buildouts are your starting point; demonstrate competence, and subsequent assignments will involve greater complexity, more systems, additional vendors, and new markets
  • How to construct genuine AI workflows integrated into daily operational execution: not an occasional tool, but the core mechanism driving scope generation, punch list tracking, and handoff documentation
  • A validated site deployment framework you will both execute and refine — your structured field observations directly inform how future campuses are built across the network
