Description

Looking for a role where your meticulous organization skills shine? Join our K-12 school network as the guardian of our student data ecosystem. You'll be the behind-the-scenes hero who ensures every digital record finds its proper home, creating streamlined systems that stand the test of time. From managing enrollment documentation to producing flawless graduation transcripts, you'll anticipate problems before they arise and develop elegant solutions that keep our operations running smoothly. In this critical role, you'll build the invisible infrastructure that allows teachers to focus on teaching and families to stay connected. If you find satisfaction in pristine data management and want your detail-oriented mindset to make a meaningful difference in education, we're ready to welcome your talents.

What you will be doing

As our Records Coordinator, you'll become the architect of our information ecosystem by:

  • Crafting intuitive organizational frameworks with precise folder hierarchies, logical naming protocols, and robust validation mechanisms that make information retrieval effortless
  • Maintaining impeccable student records across multiple platforms (SIS, spreadsheets, cloud storage), proactively identifying and resolving inconsistencies
  • Scrutinizing enrollment and withdrawal documentation for completeness, bridging information gaps, and shepherding each record through the compliance journey
  • Overseeing critical health and support data (immunizations, meal programs, accommodations), delivering timely reports and identifying potential compliance issues before they become problems
  • Developing time-saving templates and automation tools that minimize repetitive tasks and maintain exceptional data integrity even during high-volume periods

What you will NOT be doing

To set clear expectations, this position does not involve:

  • Front-facing reception duties or extensive phone communication – your focus will be on concentrated data management
  • Creating institutional policies or managing complex student cases – your expertise lies in executing established protocols with precision
  • Managing physical paperwork in traditional filing systems – we operate in a fully digital environment

Key responsibilities

Your core mission is to take ownership of our student records ecosystem – developing, maintaining, and continuously improving the digital infrastructure that ensures data accuracy, regulatory compliance, and timely information delivery to all stakeholders throughout the educational journey.

Candidate requirements

To thrive in this position, you'll need:

  • Exceptional attention to detail with an instinctive ability to spot inconsistencies and errors
  • Demonstrated experience creating or enhancing data management systems, including organized digital architectures, spreadsheet solutions, validation protocols, and basic automation tools
  • Swift and accurate data entry capabilities with minimal error rates
  • Strong independent time management skills with the ability to prioritize and meet multiple recurring deadlines
  • Excellent written communication skills in English with an emphasis on clarity and precision
  • Authorization to work in the United States without requiring sponsorship
