School Office Manager   $75,000 USD/year

Description

LOCATION NOTE: This is an in-person role located at one of our campuses.

Many schools push operations into back offices, behind meetings and approval chains. Alpha takes a different approach. This role is front and center throughout the day: welcoming families, resolving device problems, managing arrival logistics, reassuring concerned parents, liaising with vendors, and ensuring the campus feels secure, polished, and distinctly Alpha.

We are looking for someone who can balance warmth with decisiveness, stay organized without relying solely on procedures, and remain grounded while handling operational responsibilities. You will take ownership of nearly everything beyond classroom instruction: family outreach, attendance management, campus security, building operations, meal coordination, technology support, event execution, and the minor issues that escalate quickly without immediate attention.

You will not be surrounded by a large on-site operations staff. You will have procedural documentation, remote technical assistance, and established protocols, but you must learn quickly, leverage available tools, and exercise sound judgment in real time. The long-term benefit is becoming the dependable presence families trust, guides depend on, and students feel comfortable turning to when problems arise.

If you are seeking a high-visibility school operations position where service quality, decision-making, communication skills, and accountability are tested daily, submit your application now.

What you will be doing

  • Serve as the primary reliable contact for parents, students, staff, and visitors, delivering clear, composed, and prompt communication.
  • Oversee daily campus operations, including morning arrival, afternoon dismissal, attendance tracking, transportation coordination, meal logistics, campus cleanliness, event management, and facilities maintenance follow-through.
  • Address safety protocols and student welfare matters, including entry monitoring, emergency drills, health-related incidents, record-keeping, and family notifications.
  • Administer student devices and essential campus technology, covering initial setup, account assistance, basic troubleshooting, backup procedures, repair coordination, and escalation to remote technical support.
  • Cultivate trust with Guides, external vendors, and families by prioritizing helpfulness while upholding organizational standards.

What you will NOT be doing

  • Working from a secluded office while others manage parent and student interactions.
  • Leading classroom instruction, mentoring Guides, or developing academic programs.
  • Deferring every decision to a supervisor before taking action.
  • Delaying campus-level decisions with prolonged meetings when immediate responses are needed.
  • Viewing facilities management, device support, vendor coordination, or meal services as outside your scope.

Key responsibilities

Deliver a secure, efficient, and welcoming campus environment that builds confidence among students, parents, and staff on a daily basis.

Candidate requirements

  • Bachelor's degree (field of study not specified)
  • At least 1 year of experience in office coordination, facilities support, site operations, or similar operational roles
  • Comfort with basic technology tasks including device setup, troubleshooting, and account administration
  • Strong written and verbal communication skills across parents, staff, and vendors
  • Ability to manage competing priorities while maintaining attention to detail
  • Authorized to work in the United States without visa sponsorship
  • Available to work in-person in one of our campuses: Piedmont, CA; Palo Alto, CA; Fort Worth, TX; Keller, TX; Carrolton, TX; Austin, TX; Houston, TX; Oklahoma City, OK; Park City, UT; Tulsa, OK; Tampa, FL; Denver, CO; or Brentwood, TN — or willing to relocate
