A Scottsdale school offering a two-hour academic day draws parents who arrive with questions. Turning initial doubt into confirmed enrollment—by responding to the real question within 24 hours, consistently—defines this work. This is admissions treated as a sales function, not administrative processing.

Alpha School operates a private K-12 campus structured around a two-hour academic day, grounded in mastery-based progression and AI-powered learning tools, with remaining hours dedicated to hands-on projects and practical life skills. Families require human explanation, not printed materials. You serve as their sole point of contact from initial inquiry through enrollment day. When a parent sends a 9pm email asking how a third grader develops writing skills here, your reply arrives before morning. You then coordinate the shadow day, lead the campus tour, address concerns about socialization, and maintain records so no detail is overlooked. Roughly a third of your week involves email correspondence, a quarter is devoted to events and shadow visits, and the remainder is spent in direct conversations with parents.

Your responsibilities expand alongside the Scottsdale campus. Initially, you implement an established enrollment process: respond, schedule, host, document. As student cohorts reach capacity, you become the architect of the family experience at this campus. You identify which questions require better responses. You pinpoint where families disengage, and determine why.

Cohorts have fixed caps, so every enrolled family must be the right fit, and those you enroll will refer the next three. If you prefer your impact measured in enrolled students rather than resolved tickets, apply.

What you will be doing

  • Responding to every inquiry from prospective families within 24 hours, using language that is precise, clear, and directly answers their question
  • Conducting meetings with parents to guide them through the admissions process and the two-hour learning model, addressing concerns about academic standards, social development, and accreditation
  • Managing student shadow days and campus events from start to finish: RSVPs, scheduling, day-of coordination, and post-event follow-up with all attendees
  • Maintaining complete and accurate applicant records in the CRM (customer relationship management system) and student information system, ensuring decisions are never delayed by incomplete data
  • Tracking each family's position in the enrollment funnel, and identifying families at risk of disengaging before they stop communicating

What you will NOT be doing

  • Treating transcript processing, form handling, and file management as the core function. Registrar duties are not the priority here; full cohorts are
  • Cold outreach to strangers from purchased contact lists. Families arrive already interested
  • Following scripts, or escalating standard parent inquiries to senior staff
  • Teaching, tutoring, or overseeing students after enrollment
  • Making final admissions decisions or defining enrollment policies. You guide families to the decision stage

Key responsibilities

Fill each student cohort by converting qualified prospective families into enrolled students.

Candidate requirements

  • At least 2 years in admissions, customer service, or another family- or customer-facing operations role
  • At least 1 year in a role requiring regular written communication with families or customers by email, chat, or letter, plus one writing sample you can share
  • At least 1 year using a CRM, student information system (SIS), or comparable database to track and update records while running several tasks at once
  • Available to work on site at the Scottsdale, Arizona campus, or willing to relocate there
  • Authorized to work in the United States

Nice to have

  • Bachelor's degree
  • Classroom teaching experience, or a background in school admissions or enrollment management
  • Customer success, client onboarding, or account management at an education or mission-driven organization
  • Hospitality background such as front desk, events, or concierge work, where high message volume and a brand standard were both non-negotiable
  • Comfort defending an unconventional education model to a high-expectation parent paying private-school tuition
  • Existing roots in the Scottsdale or greater Phoenix community
