You will serve as the first contact for families exploring individualized, tuition-free learning at Novatio. Your communication sets the tone for enrollment decisions, and your organizational precision ensures seamless student records and compliant operations—all managed remotely with streamlined, modern tools.
Your day will shift fluidly between high-volume parent outreach and detailed data management, enabling our school to run efficiently while teachers concentrate on instruction instead of administrative tasks. You will anticipate issues, maintain accuracy, and become the operational backbone behind enrollment growth.

What you will be doing
- Handling parent inquiries through email, phone, and text, delivering accurate, timely information aligned with Novatio's communication standards
- Reaching out to prospective families within 24 hours, coordinating experience day visits, and confirming attendance at scheduled events
- Ensuring accurate, complete student and family data across HubSpot, the SIS, and other platforms
- Creating and optimizing communication templates and automated processes to maintain efficiency and brand consistency
- Generating attendance and compliance documentation by collaborating with teachers and utilizing digital systems
What you will NOT be doing
- Processing manual forms and paperwork that automation can handle
- Commuting to a physical office or adhering to fixed, on-site schedules
- Pursuing paper signatures or navigating slow approval processes that delay family support
- Remaining limited to repetitive duties with no path toward strategic involvement
Key responsibilities
Drive enrollment growth and uphold operational compliance through outstanding parent communication and precise student information administration.
Candidate requirements
- At least 2 years of experience working in a school environment
- Prior experience using Student Information Systems (SIS)
- At least 1 year of outbound calling or phone-based support experience
- Excellent written and verbal communication skills
- Eligible to work in the US without visa sponsorship
- Texas resident due to occasional in-person support needs
