Office Operations Coordinator   $75,000 USD/year

Description

LOCATION NOTE: This is an in-person role located at one of our campuses.

Many schools hide operations behind closed doors, meetings, and layers of bureaucracy. Alpha takes a different approach. This role puts you front and center throughout the day: welcoming families, troubleshooting device problems, managing smooth arrivals, supporting anxious parents, overseeing vendors, and ensuring the campus environment feels secure, polished, and distinctly Alpha.

We need someone who can balance warmth with firmness, stay organized without relying solely on checklists, and demonstrate confidence while remaining hands-on. You will manage nearly everything beyond classroom instruction: family communications, attendance processes, campus security, building maintenance, meal coordination, technology support, special events, and the minor issues that escalate quickly without intervention.

You will not be surrounded by a large on-site operations team. You will receive runbooks, remote assistance, and defined standards, but you must demonstrate quick learning, resourcefulness, and sound on-the-spot decision-making. In return, you will become the trusted adult families depend on, the reliable resource guides turn to, and the approachable problem-solver students seek out when help is needed.

If you are looking for a front-facing school operations position where service delivery, judgment, communication skills, and accountability are tested daily, apply now.

What you will be doing

  • Serve as the primary trusted contact for parents, students, staff, and visitors, providing clear, composed, and prompt communication.
  • Oversee daily campus operations, including arrival and dismissal routines, attendance tracking, transportation coordination, lunch management, campus presentation, event execution, and facility maintenance follow-through.
  • Address safety and student wellness matters, including entry control, emergency drills, health situations, record-keeping, and family notifications.
  • Oversee student devices and fundamental campus technology needs, including initial setup, account assistance, troubleshooting support, backup coordination, repair management, and escalation to remote technical support teams.
  • Establish credibility with Guides, external vendors, and families by prioritizing helpfulness while upholding established standards.

What you will NOT be doing

  • Staying out of sight in a back office while others manage the parent and student experience.
  • Leading classes, mentoring Guides, or developing curriculum content.
  • Deferring to a manager to resolve every problem before taking action.
  • Channeling operations through multiple meetings when the campus requires a same-day resolution.
  • Considering facilities, devices, vendor relations, or meal services as "someone else's responsibility."

Key responsibilities

Deliver a safe, efficient, and welcoming campus environment that builds trust with students, parents, and staff each day.

Candidate requirements

  • Bachelor's degree (field of study not specified)
  • At least 1 year of experience in office coordination, facilities support, site operations, or similar operational roles

  • Strong written and verbal communication skills across parents, staff, and vendors
  • Ability to manage competing priorities while maintaining attention to detail
  • Authorized to work in the United States without visa sponsorship
