Associate Registrar   $75,000 USD/year

Description

You are the individual who locates the missing document, catches the incorrect date, corrects the entry, and maintains system integrity before issues surface. If you value precision in complex administrative operations and take satisfaction in near-flawless execution, continue reading. If you require strategic planning, public presentations, or continuous interpersonal interaction to remain motivated, this position will not suit you.

Alpha School is expanding a new model of school network. This expansion generates a demanding operational challenge: thousands of student files, enrollment packages, transcripts, medical documentation, attendance records, and compliance procedures must remain accurate throughout network growth. This work lacks glamour. It is indispensable. Accurate records sustain school operations, serve families effectively, and free leadership from administrative burden.

You will manage the high-volume processes supporting enrollment and student records throughout a multi-campus education network. During a standard week, you will examine intake materials, handle records requests, maintain student information systems, conduct data audits, address inconsistencies, and assist with registrar operations. As Alpha incorporates additional campuses and students over time, your contributions form part of the operational foundation enabling the network to scale without disorder.

If you are methodical, precise, self-sufficient, and motivated by converting substantial information volumes into accurate, compliant records, we want to speak with you.

What you will be doing

  • Examine enrollment and intake materials for completeness, correctness, and processing readiness
  • Handle student records, transcripts, medical documentation, enrollment verification materials, and records requests
  • Input, maintain, audit, and rectify student data within SIS platforms, databases, CRMs, or comparable systems
  • Monitor outstanding requirements and advance enrollment documentation through internal processes
  • Assist registrar functions, including attendance monitoring, testing coordination, document management, and administrative initiatives

What you will NOT be doing

  • Directing enrollment strategy, registrar policy development, or school expansion planning
  • Acting as primary escalation contact for compliance, accreditation, or regulatory matters
  • Performing sales functions, closing enrollment decisions, or owning family relationship oversight
  • Delivering presentations to large audiences or functioning as a public-facing school representative
  • Supervising a team or assigning detailed records work to other staff members

Key responsibilities

This role exists so Alpha School can scale enrollment across a growing school network with accurate, complete, compliant, and audit-ready student records.

Candidate requirements

  • Experience managing high-volume administrative workflows involving documentation, records, or data
  • Experience maintaining accurate information in databases, CRMs, SIS platforms, or similar systems
  • Demonstrated ability to manage multiple concurrent workflows while maintaining strong accuracy
  • Strong written communication, organization, prioritization, and follow-through
  • Ability to learn new systems and processes quickly
  • Comfort working independently in a fully remote role
  • Authorized to work in the United States or Canada

Nice to have

  • Experience in student records, school registrar operations, admissions operations, or education administration
  • Experience in healthcare, legal, insurance, or other compliance-heavy administrative environments
  • Associate's or bachelor's degree in any field
