Registrar Coordinator   $75,000 USD/year

Description

You are the individual who locates the missing document, identifies the incorrect date, corrects the entry, and maintains system integrity before issues surface. If you derive satisfaction from executing complex administrative operations with near-perfect accuracy, continue reading. If you require strategic presentations, public engagement, or frequent interpersonal interaction to remain motivated, this position is not aligned with your strengths.

Alpha School is expanding a new model of school network. This expansion generates a challenging operational demand: thousands of student records, enrollment packages, transcript files, medical documentation, attendance logs, and compliance protocols must remain precise as the organization grows. This work lacks glamour. It is critical. Accurate records enable schools to function, families to receive support, and leadership to avoid administrative burden.

You will manage the high-throughput processes that support enrollment and student documentation across a multi-site education system. During a standard week, you will examine intake paperwork, handle records inquiries, refresh student information platforms, perform data audits, address inconsistencies, and assist with registrar operations. As Alpha incorporates additional campuses and enrolls more students, your contributions form part of the operational infrastructure that allows the network to grow without disorder.

If you are methodical, precise, autonomous, and motivated by converting high volumes of information into accurate, compliant documentation, we want to hear from you.

What you will be doing

  • Examine enrollment and intake paperwork for completeness, correctness, and processing readiness
  • Handle student records, transcript requests, medical documentation, enrollment verification materials, and records inquiries
  • Input, refresh, audit, and amend student information in SIS systems, databases, CRMs, or comparable platforms
  • Monitor outstanding requirements and advance enrollment documentation through internal procedures
  • Assist with registrar functions, including attendance monitoring, testing coordination, document organization, and administrative initiatives

What you will NOT be doing

  • Developing enrollment strategy, registrar policies, or school expansion initiatives
  • Acting as the primary point of contact for compliance, accreditation, or regulatory matters
  • Engaging in sales processes, converting prospective families, or managing family relations
  • Delivering presentations to large audiences or functioning as a public representative of the school
  • Leading a team or assigning the granular records tasks to subordinates

Key responsibilities

This role exists to ensure Alpha School can expand enrollment across a growing network of campuses while maintaining accurate, complete, compliant, and audit-ready student documentation.

Candidate requirements

  • Experience handling high-volume administrative operations that involve documentation, records, or data management
  • Experience sustaining accurate information across databases, CRMs, SIS platforms, or related systems
  • Proven capacity to oversee multiple simultaneous workflows while preserving high accuracy
  • Strong written communication skills, organizational capability, prioritization, and consistent follow-through
  • Capacity to acquire proficiency in new systems and procedures rapidly
  • Comfort operating independently within a fully remote position
  • Authorization to work in the United States or Canada

Nice to have

  • Experience with student records, school registrar functions, admissions coordination, or education administration
  • Experience in healthcare, legal, insurance, or other compliance-intensive administrative settings
  • Associate's or bachelor's degree in any discipline
