Records Coordinator   $75,000 USD/year

Description

You are the individual who locates the missing document, identifies the incorrect date, corrects the entry, and ensures the system stays clean before others encounter the issue. If you find satisfaction in executing complex administrative operations with minimal errors, continue reading. If you require strategy presentations, public speaking opportunities, or frequent external interactions to stay motivated, this role will not be suitable.

Alpha School is expanding a new type of school network. This expansion generates a challenging operational requirement: thousands of student files, enrollment packages, transcripts, medical documents, attendance records, and compliance procedures must remain accurate as the network grows. This work lacks glamour. It is critical. Accurate records enable schools to function, families to receive support, and leaders to avoid administrative burdens.

You will manage the high-volume processes supporting enrollment and student records throughout a multi-campus education network. During a standard week, you will examine intake materials, handle records requests, maintain student information systems, audit data, address inconsistencies, and assist with registrar operations. As Alpha expands with additional campuses and students, your contributions will form part of the operational foundation that allows the network to grow without disorder.

If you are methodical, precise, independent, and motivated by converting large information volumes into clean, compliant records, we want to speak with you.

What you will be doing

  • Examine enrollment and intake materials for completeness, accuracy, and compliance readiness
  • Handle student records, transcripts, medical documentation, enrollment verification files, and records requests
  • Input, maintain, audit, and rectify student data in SIS platforms, databases, CRMs, or comparable systems
  • Monitor outstanding requirements and advance enrollment documentation through internal processes
  • Assist registrar functions, including attendance monitoring, testing coordination, file organization, and administrative initiatives

What you will NOT be doing

  • Directing enrollment strategy, registrar policy, or school expansion plans
  • Acting as the primary escalation contact for compliance, accreditation, or regulatory matters
  • Engaging in sales functions, converting families, or owning family relationship oversight
  • Delivering presentations to large audiences or serving as a public-facing school representative
  • Leading a team or delegating the granular records work to other staff members

Key responsibilities

This position exists to enable Alpha School to scale enrollment across an expanding school network with accurate, complete, compliant, and audit-ready student records.

Candidate requirements

  • Experience overseeing high-volume administrative workflows that involve documentation, records, or data
  • Experience preserving accurate information in databases, CRMs, SIS platforms, or similar systems
  • Proven ability to handle multiple concurrent workflows while sustaining high accuracy
  • Strong written communication, organization, prioritization, and follow-through
  • Ability to learn new systems and processes quickly
  • Comfort working independently in a fully remote role
  • Authorized to work in the United States or Canada

Nice to have

  • Experience in student records, school registrar operations, admissions operations, or education administration
  • Experience in healthcare, legal, insurance, or other compliance-heavy administrative environments
  • Associate's or bachelor's degree in any field
