Embedded within the private office of a Trilogy senior executive, you’ll operate in an environment devoid of bureaucratic clutter, equipped with the tools to excel. This role is crucial because an executive’s time is their most precious resource, and you’ll be the guardian of it.

If you’ve been the backbone for top executives, orchestrated operations for UHNW clients, or are known for your ability to achieve the improbable with efficiency and discretion, this opportunity awaits you.

What you will be doing

  • Efficiently managing a high-volume executive inbox and calendar while ensuring every interaction is polished and professional.
  • Transforming rough notes and voice recordings into refined written materials such as memos, presentations, and briefs.
  • Creating and sustaining operational systems for task management, vendor interactions, and travel arrangements.
  • Overseeing personal and professional projects with high discretion from conception through vendor coordination.
  • Serving as the main contact point for internal executives, investors, advisors, and family office stakeholders.

  • Waiting around for directions—this role demands proactive decision-making and action.
  • Engaging in a competitive EA pool or delegating tasks—your responsibility is the final outcome.
  • Navigating through intermediaries—you’ll work directly with the principal.
  • Getting bogged down by red tape—there’s freedom and trust to act.
  • Relying on pre-existing systems—you’ll be the architect of these systems.

Key responsibilities

Safeguard and enhance an executive's time, focus, and productivity by taking charge of systems, communications, and project management across both business and personal spheres.

Candidate requirements

  • 8–12+ years of experience supporting top-tier executives or UHNW clients in roles like EA, EBP, CoS, or high-touch consulting.
  • Outstanding written communication skills; articulate and professional across various formats.
  • Demonstrated success in managing both professional and personal workflows for a single executive.
  • Proficiency in modern productivity tools: Google Workspace, Shortwave, Notion, Workflowy, etc.
  • Discreet, composed, and reliable under NDA; adept at handling confidential information.
  • Located in or willing to relocate to Austin; on-site presence required.
  • Authorized to work in the US without visa sponsorship.

Nice to have

  • Background in family office or private office settings.
  • Experience with event planning, property management, or vendor networks.
  • Financial literacy—competent in managing budgets, invoices, and related paperwork.
  • Strong research and synthesis abilities; capable of producing high-quality, quick-turnaround deliverables.
