Description

LOCATION NOTE: This is an in-person position based at our Austin, TX campus.

A well-functioning campus feels orderly, welcoming, and calm—the result of countless behind-the-scenes decisions made to maintain that environment.

Nova Academy was created to serve families and students who demand excellence beyond the classroom. That standard applies to every aspect of the experience: the clarity of communication with families, the sense of safety students experience, the efficiency of daily routines, and the speed with which challenges are addressed. This position ensures all these elements function seamlessly, day in and day out.

As Campus Operations Coordinator, you own the complete non-academic infrastructure of the campus. You establish trust with families by delivering clear, timely updates. You protect student safety by managing protocols and responding to incidents. You oversee facilities, logistics, and daily workflows so that staff can dedicate their attention to students. You also ensure that technology enhances learning instead of disrupting it.

This is a practical, community-facing position designed for someone who thrives on variety, accountability, and service. If you find fulfillment in problem-solving, supporting a school community, and building an environment where both students and staff succeed, this role provides substantial ownership and meaningful impact.

What you will be doing

  • Cultivating strong connections with parents, students, and staff by providing proactive, bilingual outreach and communication
  • Directing campus safety operations, including entry protocols, health-related incidents, emergency drills, record-keeping, and family notifications
  • Supervising day-to-day campus functions such as attendance tracking, transportation logistics, facility maintenance support, and office coordination
  • Assisting with onboarding and orientation for new team members to facilitate seamless integration into campus workflows and culture
  • Administering student devices and campus technology infrastructure, acting as the primary on-site technical resource and Google Administrator

What you will NOT be doing

  • Delivering classroom instruction or participating in academic teaching
  • Mentoring Guides or contributing to curriculum development
  • Functioning in a narrowly scoped or exclusively clerical capacity
  • Working within a static, entirely predictable daily routine
  • Escalating issues without personally driving them to resolution

Key responsibilities

Ensure that Nova Academy functions safely, efficiently, and reliably so that students, staff, and families consistently experience a high-trust, professionally managed campus environment.

Candidate requirements

  • Bachelor's degree (field of study not specified)
  • A minimum of 1 year of experience in office coordination, facility operations, site management, or comparable operational functions
  • Competence with fundamental technology responsibilities including device configuration, troubleshooting, and user account management
  • Excellent written and spoken communication abilities
  • Capacity to juggle multiple tasks while maintaining precision and attention to detail
  • Fluency in both spoken Spanish and English with the ability to communicate clearly in both languages
  • Authorization to work in the United States without requiring visa sponsorship
  • Availability to work on-site in Austin, TX, or readiness to relocate

Nice to have

  • 3+ years of experience in operational management
  • Prior experience working as a Google Administrator
  • Background in event planning and execution
