Description

This role is not administrative in nature.

It functions as a front-line executive partnership designed for individuals who comprehend the mechanics of time, reputation, and access at senior levels—and who can deliver flawless execution outside the direct presence of leadership.

You will serve as a vital extension of the founder's private office, collaborating closely with the Chief of Staff. Your core mandate is both straightforward and exacting: guarantee that every external engagement involving the founder—whether email, meeting, interview, or public appearance—is deliberate, thoroughly prepared, and managed with sound judgment. Success in this position demands autonomous decision-making, refined instincts, and the assurance to take action without requiring continual approval.

While this position is entirely remote, it is far from removed. You will remain deeply integrated into the founder's day-to-day operations, overseeing high-priority inbound activity, safeguarding focus, and ensuring only meaningful conversations occur at appropriate moments. If you have previously supported a high-visibility CEO, hedge fund manager, or ultra-high-net-worth principal—and you recognize which engagements generate impact and which do not—this role will be recognizable territory. If you require physical proximity, detailed guidance, or frequent validation, it will not suit you.

The purpose of this role is to safeguard the founder's most critical resources: time and reputation. If you are capable of operating at this standard with accuracy, discretion, and refinement—particularly in a remote capacity—we invite your application.

What you will be doing

  • Assume full responsibility for the founder's inbox and calendar, applying sharp judgment to triage substantial external inbound activity.
  • Collaborate with the Chief of Staff to synchronize scheduling, strategic priorities, and meeting preparation.
  • Compose, refine, and ghostwrite executive communications that convey clarity, authority, and purpose.
  • Act as the principal liaison for senior external parties, including CEOs, investors, advisors, and media contacts.
  • Guarantee the founder enters every meeting, interview, and appearance fully briefed, with appropriate context and dependable follow-through.

What you will NOT be doing

  • Relying on detailed instructions or ongoing approval for routine tasks.
  • Functioning as a passive scheduling coordinator devoid of judgment or strategic awareness.
  • Escalating every choice to senior leadership.
  • Interpreting "remote" as a reduction in accountability or performance expectations.
  • Performing your duties without refinement, accuracy, or disciplined execution.

Key responsibilities

Safeguard and enhance the founder's operational impact through the exercise of independent judgment regarding time allocation, access control, and external communications.

Candidate requirements

  • 8–12+ years of experience providing support to senior executives, founders, or ultra-high-net-worth principals.
  • Proven track record of owning inboxes and calendars for high-profile individuals.
  • Demonstrated experience managing executive-level, externally facing communications.
  • Outstanding written communication skills—clear, confident, and commanding.
  • Established discretion in confidential, NDA-governed settings.
  • Robust independent judgment and confidence in making decisions with minimal supervision.
  • U.S.-based with the ability to maintain high availability consistent with senior-executive schedules.

Nice to have

  • Background as an Executive Assistant, Executive Business Partner, or private office leader supporting a publicly recognized CEO.
  • Experience in Chief of Staff, family office, or private investment office roles.
  • Prior work in finance, technology, media, or political environments where reputation and public perception are critical.
